The motion list
The motion list is the record of what was moved, seconded and voted on. Read it before you generate the minutes: the draft records the motions on this list.
If a motion is missing, find the block where it was made and press Mark motion. If a motion doesn't belong in the minutes, skip it.
Generate the minutes
Generate minutes writes the draft from the transcript, the agenda, the attendance and the motion list. It checks speakers' full names and pronouns first. Drafting takes a few minutes, and you can follow each step on the page.
While it drafts, it checks each motion against your motion list and rewrites any that came out wrong, such as a swapped mover and seconder or a missing vote.
The Document tab
The draft opens in the Document tab, laid out like your example minutes, with the letterhead and page header from your Word template if you uploaded one. You can edit it like any document.
The agenda on the left jumps to each heading in the draft. You can also fix the agenda there with Edit agenda items. If the agenda was read after the draft was written, you'll be offered a new draft that uses its headings. That replaces the whole draft, including your edits.
Formatting
The toolbar has bold and italic, bulleted and numbered lists, undo and redo, and:
- Align left, center, right and Justify,
- Increase indent and Decrease indent,
- New line, no space above, for lines that belong together, like one name per line under Present:.
Alignment, indents and line breaks carry over to the Word and PDF export.
| Shortcut | Does |
|---|---|
| Ctrl+Shift+L / E / R / J (Cmd on a Mac) | Align left, center, right, justify |
| Tab / Shift+Tab | Indent / outdent the paragraph |
| Backspace at the start of an indented paragraph | Removes one indent step |
| Shift+Enter | New line in the same paragraph, no space |
How motions are laid out (one paragraph, or the names on their own centered line) is a setting for each body, so you don't have to fix it by hand on every draft. Customers can read Matching your template.
Ask AI
Use Ask AI for changes that run through the whole draft, such as how people are named or how votes are written. Look over the changes it proposes, untick any you don't want, and apply the rest.
To change one passage, highlight it first. Ask AI then rewrites only that text. Pick Make it shorter, Include more detail, More formal, Fix grammar or Redo this, or type what to change.
Verify
Verify lists what needs a second look:
- paragraphs with no source in the recording,
- motions missing from the minutes,
- parts of the meeting the minutes leave out,
- Attendance: your list next to what the recording shows for each person, including anyone heard speaking in an official role who isn't listed. Fix the list there and the attendance lines in the draft are rewritten.
Open any item to jump to its place in the transcript and hear it. For a part of the meeting the draft leaves out, press Add to minutes to have a paragraph drafted from it and placed in the right spot, or dismiss it if it doesn't belong.
